Team and roles
Manage your team in Klarvu. Understand the four user roles, and add colleagues, change their permissions, or remove them.
Updated
You don't have to manage your AI visibility alone. Klarvu lets you give colleagues access to your brands and decide whether they should be able to make changes or simply follow the results.
Four user roles help you control who can do what.
The four roles in Klarvu
Every team member has one of four roles. In the app, the roles are written in lowercase: owner, admin, analyst, and viewer.
| Role | What the user can do |
|---|---|
| "Owner" | Has full access to the organization. Can manage the team, integrations, and content, including assigning, changing, and removing ownership. Only owners can make another user an owner, delete a brand, or change the organization's account type. |
| "Admin" | Can manage team members, change roles, and remove members, except owners. Can also create and edit brands, connect integrations such as Google Analytics and Agent traffic, permanently delete prompts, and use all analyst features. |
| "Analyst" | Can work with content: create and edit prompts, competitors, dashboards, and widgets; run "Crawlability Checker" and "Content Checker"; retrieve fan-out queries; and manage recommendation statuses. |
| "Viewer" | Can view data, dashboards, AI answers, and other content but cannot create, edit, or delete anything. |
"Analyst" is usually a good fit for colleagues actively working with marketing, SEO, and content.
"Viewer" is better suited to people who need to follow performance but don't need to change anything in Klarvu.
View your team
Go to "Settings" → "Configure" → "Team".
The "Team" page displays a table of your organization's members.
| Column | What it shows |
|---|---|
| "Email" | The email address the member uses for Klarvu. |
| "Role" | The member's role and permissions. |
| "Access" | Which clients the member can access. This column is available for agency accounts. |
Your own account is marked "you", making it easy to find yourself in the list.
Add a teammate
You can add colleagues using the "Add a teammate" card on the "Team" page.
Your colleague must already have a Klarvu account before you can add them to your organization.
Ask your colleague to create an account
Your colleague needs to sign up for a Klarvu account using the email address you plan to add.
Fill in "Add a teammate"
Go to "Settings" → "Configure" → "Team".
Find the "Add a teammate" card and enter your colleague's email address in "Email".
Choose the right role
Under "Role", select the permissions your colleague should have.
For example, choose "analyst" if they'll work with prompts and dashboards, or "viewer" if they only need to see results.
Only an owner can assign the "owner" role.
On agency accounts, you can also set their access under "Access" at the same time.
Click "Add"
Click "Add" to add your colleague.
The button displays "Adding..." while Klarvu processes the request.
If no account exists for that email address, you'll see:
"No account exists yet for [email] — ask them to sign up first, then add them."
Let your colleague know they're added
Once added, your colleague can use their existing Klarvu account to access the organization.
Klarvu doesn't send an invitation email, so you'll need to let them know yourself.
Change a team member's role
You can change roles directly in the table on the "Team" page.
Find the relevant colleague and select the new role under "Role".
This might be useful when someone moves from reviewing results to actively managing prompts and recommendations.
A few restrictions apply:
- An "Owner" can change all user roles, including assigning ownership to others.
- An "Admin" can change regular team members' roles but cannot change an owner's role.
- An "Analyst" or "Viewer" cannot change roles.
Remove a team member
If a colleague no longer needs access, an "Owner" or "Admin" can remove them from the team.
Find the member on the "Team" page and click "Remove".
You cannot remove yourself from the organization through the team overview.
Only an "Owner" can remove another owner. An "Admin" cannot remove members with the "Owner" role.
For agencies only: Limit access to selected clients
If your organization uses Klarvu as an agency, you can give certain team members access to specific clients rather than everyone.
For example, you might want to provide a client with a login that only shows their own brand.
For users with the "Analyst" or "Viewer" role, you can change access in the "Access" column on the "Team" page. Owners and administrators always have access to all clients.
You can choose:
- "All clients": The user can access all clients.
- "Selected clients": The user can only access the clients you select.
Use "Add a client..." to select the relevant clients, then click "Save access" to save your changes.
A user set to "Selected clients" sees nothing until you add at least one client. They also don't see organization-wide settings such as "Organization" and "Team".
This feature is available for agency accounts only.
