Add, edit, and organize prompts

Search, add, organize, and edit your prompts in Klarvu, and archive questions without losing the AI answers you've already collected.

Updated

Your prompt list doesn't have to stay the same forever. As you learn more about how AI answers your customers' questions, you may want to add new prompts, adjust their settings, or stop tracking ones that are no longer relevant.

You can manage all of this from the "Prompts" page.

Get an overview of your prompts

At the top of "Prompts", you'll find three key metrics:

MetricWhat it shows
"Prompts"The number of prompts you're tracking.
"Responses"How many AI answers Klarvu has collected.
"Platforms"Which AI platforms your prompts run on. Click a platform logo to filter the results to that platform.

Below these metrics, three cards give you a quick picture of your questions and results:

  • "Branded prompts": The split between prompts that mention your brand and those that don't.
  • "Presence": How often your brand appears ("Mentioned") or doesn't appear ("Not mentioned") in the answers.
  • "Citations": The split between citations to your own website ("Your brand") and citations to other websites ("Elsewhere").

These cards are a useful starting point for checking the balance of your prompt list.

For example, if almost all your prompts are branded, it may be worth adding more unbranded questions. The difference between the two types is explained on the Topics and prompts page.

Find and filter your prompts

When you're tracking a larger number of questions, search, filters, and grouping make it easier to find what you're looking for.

Use "Search" to find a particular prompt.

Under "Group by", you can switch between different views, including "By seed prompt", which is also useful when you want to work with multiple prompts at once.

You can filter by:

  • Topic, persona, stage, and tag.
  • AI platform and country.
  • "Brand mentioned in prompt": Whether a question is branded or unbranded.
  • "Competitor in response": Whether competitors appear in the answers.

Active filters appear as small buttons above the list. Click × to remove a filter.

Understand the prompt table

The prompt overview includes the following columns:

ColumnWhat it shows
"Seed Prompt"The question you're tracking.
"Data"The data collected for that question.
"Mentions"Brand mentions detected in the answers.
"Citations"Source citations in the answers.
"Competitors"Which tracked competitors appear.

Click a prompt to open its own page and explore the answers in more detail.

The next documentation page covers that detailed view.

Add new prompts

There are two ways to add questions: write your own or get suggestions from Klarvu.

Create a question with "New prompt"

Click "New prompt" to create a question.

You'll be asked to fill in:

  • "Prompt": The question itself, for example, "What are the best project management tools for small businesses?"
  • "Language": The language the question should be asked in.
  • "Persona": The type of customer the question is relevant to.
  • "Topic": The topic the question belongs to.

Writing your own prompts is particularly useful when you already know what customers regularly ask your sales or support teams.

For guidance on wording, see the Writing good prompts page.

Get suggestions with "Suggest more"

You'll find "Suggest more" at the bottom of the "Prompts" page.

Klarvu suggests additional questions based on your topics and personas, including both branded and unbranded prompts.

Review the suggestions and click "Add" next to the ones you'd like to track.

You can also use "Suggest categories" to get suggestions for additional topics.

Edit a prompt

When you open "Edit prompt", you can change how the question is organized and where it runs.

The following fields are editable:

FieldWhat you can change
"Language"The language used for the question.
"Persona"Which customer type the question is relevant to.
"Topic"The topic the question belongs to.
"Stage"Where the question fits in the buying journey.
"Countries"Which countries the question runs in.
"Platforms"Which AI platforms receive the question.
"Tags"Which custom labels are attached to the question.

Under "Countries", each country produces its own answer during every run and counts as one prompt toward your limit.

Under "Platforms", you can select which AI platforms should receive the question. During the free trial, these are ChatGPT, Gemini, and Google AI Overviews.

Tags must be created under "Configure → Prompt Organization" before you can use them.

Edit multiple prompts at once

If you want to reorganize several questions, you don't need to open them individually.

Switch to "By seed prompt" and select the prompts you want to update. You can also use "Select all".

You can then:

  • Choose a topic, persona, or stage and click "Assign" to apply it to the selected prompts.
  • Archive multiple prompts at once.

You may notice that the topic field in this bulk action is called "Subcategory". This corresponds to "Topic" elsewhere in the app.

Organize topics, personas, stages, and tags

Under "Configure → Prompt Organization", you can manage the groups used to organize your prompts.

There are four sections:

  • "Topics": The subject areas your questions cover.
  • "Personas": The customer types you're tracking.
  • "Stages": Where questions fit in the buying journey.
  • "Tags": Your own labels for organizing and filtering questions.

You can create new entries, rename existing ones, and delete those you no longer need.

Deleting a tag also removes it from any prompts where it was previously used.

These concepts are explained in more detail on the "Topics and prompts" page.

Remove or restore prompts

Some questions eventually stop being relevant. Others might not produce the answers you expected.

You don't have to delete them permanently.

Archive with "Remove prompt"

Choosing "Remove prompt" archives the question and stops it from running.

All previously collected answers and analysis remain available.

This is the preferred option when you no longer want to track a question but would like to keep its history.

Restore from "Archived"

You'll find the "Archived" button next to "Prompts".

This is where you can view questions you've previously removed and use "Restore" to make them active again.

You can also choose "Delete permanently" if you want to erase them completely.

Keep your prompt list relevant

It's worth reviewing your prompts from time to time. Not necessarily to add more, but to make sure you're tracking questions that still matter.

Check your branded and unbranded balance

Start with the "Branded prompts" card.

If most questions mention your brand, consider adding more unbranded prompts to track situations where AI needs to discover your company without being asked about it directly.

Group your prompts by topic

Use the filters to review the questions within each topic.

Are there important areas with very few prompts? Or topics where you're tracking several nearly identical questions?

Use "Suggest more" to fill the gaps

Get additional suggestions based on your topics and personas.

Choose questions that explore different customer needs rather than repeating what you're already tracking.

Archive prompts you no longer need

Review questions that rarely produce useful answers or are no longer relevant.

Use "Remove prompt" to stop tracking them without losing their history.

The goal isn't to track as many prompts as possible. It's to maintain a useful set of questions that helps you understand what AI says about your business when potential customers are looking for solutions like yours.
